1. Attendance Assurance Process

From a taken register to an honest at-risk list — and the trap of the register never taken.

1
Facilitators take registers. Every timetabled session should produce one — presence, absence, or the silence that means neither.
↓
2
The report reads them. /Reports/AttendanceReport/AttendanceReportOverview — rates by class and learner over the window, with the at-risk threshold you choose. Attendance report
↓
3
No record means unknown — not absent, not perfect. Learners with no attendance at all are reported separately rather than as 0%, so the at-risk list stays about real cases.
↓
4
Close the gap. The registers-not-taken list names every session with no register — sessions that would otherwise read as perfect attendance; the Register button captures them there and then.

Attendance report

/Reports/AttendanceReport/AttendanceReportOverview

Attendance for a period: overall rate, below-threshold count, learners with no record, consecutive absences, registers not taken, by class and by learner.

  1. Set the period and filters, then Apply.
  2. Open a day's register from the modal to see who was present.
  3. Export the report to CSV for circulation.
Tip. 'No record' means unknown, not absent — a register that was never taken is its own problem and is listed separately.

APP targets — Annual Performance Plan

/Reports/AppTargets/AppTargetsOverview

The year's NSDP outcomes, sub-outcomes and output indicators with their APP/SLA annual target and quarterly target, set against what the system actually holds. Import the targets from the SETA quarterly reporting template, then let each indicator that can be measured from live data fill its own actuals; the rest are captured by hand.

  1. Choose the financial year at the top of the screen — every figure narrows to it.
  2. Import template — upload the SETA quarterly reporting workbook. Its 00_Summary sheet is read: outcome, sub-outcome, output indicator, the annual APP/SLA target and the quarterly target. Indicators already captured for the year are updated, not duplicated.
  3. Leave Also import the Q1–Q4 figures ticked to load the quarterly actuals for the manually-measured indicators from the same sheet.
  4. Refresh recomputes the system-measured indicators from live data, so target-vs-actual and variance stay current.
  5. Add or edit any indicator the template does not carry directly on the screen.
Tip: the consolidated SETA workbook can be large (tens of MB, ~50 programme sheets) — that is fine to upload. It only needs a 00_Summary sheet in the column order above; if the import is rejected, check that sheet is present and named so.

FAQ & troubleshooting

Why do rates look low for a new class?

Days with no register taken count as unknown, and the report says so — take the registers and the rate corrects itself.
